MyEHSMomentum Mobile App Privacy Policy

This Privacy Policy explains how EHS Momentum, LLC, a Momentum Solutions 360 company (“EHS Momentum”, “we”, “us”), handles information in the MyEHSMomentum mobile application for iOS and Android (the “App”).

1. How accounts work
The App is workplace software provided to employers. Accounts are created and administered by your employer, not by you. You cannot register for an account inside the App, and the App is not available to the general public.
The safety records you create in the App belong to your employer. Your employer decides what is collected, who may see it, and how long it is kept. In data protection terms, your employer is the controller of that information and we process it on your employer’s behalf. If you want your records corrected or removed, we will ordinarily direct your request to your employer.
2. Information we collect
Account information. Your name and email address, provided by your employer when your account is created, together with your assigned sites, role and permissions.
Safety records you submit. The content of the reports and records you create, which may include injury and illness reports, incident and near-miss reports, safety observations, corrective actions, inspections and work orders. These records can include health information about you or about other identifiable people, such as a description of an injury and who was involved. We treat this as sensitive information.
Photographs. If you attach a photograph to a report or inspection, we receive that image and any information embedded in it by your device. The App requests access to your camera and your photo library for this purpose, and to scan inspection QR codes. The App captures still images only. It does not record video or audio, and it does not request access to your microphone.
Crash and diagnostic information. If the App crashes or hits an error, we receive a technical report through Sentry, an error-monitoring service acting as our processor. These reports contain information such as the device model, operating system version, App version and the technical details of the fault. We have configured this service so that it does not attach your name, email address or IP address to these reports.
Information kept only on your device. To let you work without a signal, the App stores a copy of your own records on your device, along with your sign-in credentials in your device’s secure storage. If you enable biometric unlock, your fingerprint or face data never leaves your device and is never received by us; the App only asks your device’s operating system to confirm whether the check passed.
3. What the App does not collect
The App does not collect your location or any geolocation data. It does not access your microphone, contacts or calendar. It contains no advertising, no advertising identifiers and no analytics software other than the crash reporting described above. We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
4. How we use information
We use the information above to operate the App: to sign you in, to show you the work assigned to you, to save and submit the records you create, to attach your photographs to those records, and to deliver everything to your employer’s MyEHSMomentum account. We use crash and diagnostic information to find and fix faults and to keep the App reliable and secure.
We do not use your safety records or your photographs to train machine learning models, and we do not use them for marketing.
5. How information is shared
With your employer. Records you create are made available to your employer and to the people your employer authorises within its own organisation.
With service providers. We use a small number of providers who process information on our behalf and under contract, including cloud hosting and storage (Amazon Web Services) and error monitoring (Sentry). They may use the information only to provide services to us.
For legal reasons. We may disclose information where we are required to by law, or to establish, exercise or defend legal claims, or to protect the rights and safety of any person.
We do not sell your personal information to anyone.
6. How long we keep information
We keep records for as long as your employer’s account is active, and for as long as your employer instructs us to keep them. Workplace injury and illness records are frequently subject to legal retention requirements, so some records may be retained even after you leave your employer or after you ask us to delete them. Crash and diagnostic reports are kept for a limited period and then deleted.
7. Security
All information sent between the App and our servers, including photographs, is encrypted in transit using HTTPS/TLS. Your sign-in credentials are held in your device’s protected credential storage. You can enable biometric unlock to require a fingerprint or face check before the App will open.
No system is perfectly secure, but we take reasonable measures appropriate to the sensitivity of the information the App handles.
8. Your choices
Device permissions. You can grant or withdraw camera and photo access at any time in your device settings. If you withdraw them you can still use the App, but you will not be able to attach photographs or scan QR codes.
Biometric unlock. This is optional and can be turned off in the App.
Deleting your data. Because your employer administers your account, you cannot delete it from within the App. To request deletion of your account or your personal data, see https://ehsmomentum.com/data-deletion/.
State privacy rights. If you live in California, Texas or another state with its own privacy law, the rights available to you and the process for exercising them are described in our website Privacy Policy at https://ehsmomentum.com/privacy-policy/, and apply equally to information collected through the App.
9. Children
The App is workplace software intended for use by adults in the course of their employment. It is not directed to children, and we do not knowingly collect information from anyone under 18.
10. Changes to this policy
If we change this policy we will update the effective date at the top of this page. If the change is significant we will make reasonable efforts to tell your employer.
